Dean of Examinations:

The Office of the Controller of Examinations & Examination Cell is located in the First floor of the Administrative building. The office is spacious, air-conditioned and has a large amount of storage capacity to store papers and other examination material. The office also has an attached strong room. Established in September 2010, soon after the college obtained Autonomy, Examination Cell has been functioning independently for the conduct of Autonomous Examinations. The Information Technology (IT) integration has facilitated the digitalisation of all examination processes through various modules of starting with generation of Exam Application printing of Grade Cards.

The Responsibilities of the Examination Cell are:

  • Preparing Examination Calendar which includes all the Examination related activities
  • Conducting CIA Tests and Semester Autonomous Examinations
  • Processing and Publishing results in time.
  • Issuing Certificates such as Statement of Grade, Consolidated Statement of Grade and Pass Certificate
  • Compiling list of successful candidates alongwith their CGPA and photo to Thiruvalluvar University for award of Provisional and Degree Certificates.

Infrastructural support from the Management:
The management has constructed and provided a dedicated floor in the new Administrative Block, exclusively for the Examination Cell. The Examination Cell is equipped with the state-of-the-art technology infrastructure for effective functioning:

  • High configuration Server and computers with LED monitors, which  are kept away from access by outsiders to the Examination Cell
  • A proprietary Examination Management System custom made by iGrapix Solutions, Chennai, for the college, works 24x7 and supports all the examination process. The system is secure and foolproof. Personnel are trained to operate and a Software Usage Manual is also available for any beginners to understand the work flow
  • Two large and Two compact Laser Jet Multi Function Printers with A3 and A4 printing capabilities, Two Colour Laser Jet Multi Function Printers and a Digital Image Duplicator for rapid printing of a large number of copies of question papers and examination related documents are available. High Speed Scanner is available to accurately scan documents.
  • An exclusive uninterruptible 5 KVA UPS with effective battery backup capacity to handle any Power Shutdown
  • Automatic backup system that keeps regular backups of all data, so that any loss due to technical disasters is negligible.

Functions of the Examination Cell:

The Examination Cell is an autonomous body with well-defined responsibilities. The functioning of the Examination Cell is totally computerised which helps in time bound conduct of examinations, declaration of results and in making the system transparent and accountable.

  • Receives the Academic Council approved Regulations & Schemes of Examinations, and a copy of the Syllabi for all programmes from the Principal.
  • To appoint question paper setters and receive question paper sets with key and detailed valuation schemes
  • To conduct centralized CIA I & CIA II Tests for all programmes
  • To issue End Semester Examination applications to UG and PG students
  • To announce the schedule for End Semester Examination for all programmes
  • To conduct the Practical Examinations, Project including Viva-voce for all required Courses
  • To receive the filled-in Examination Applications from UG and PG Students and upload the same in Exam Cell software through Scanning QR code
  • To prepare the list of students and courses in which they appear for End Semester Examinations.
  • To generate a login facility for each Teacher to enter CIA marks through the intranet.
  • To appoint the Scrutiny Committee to scrutinise the question papers of Autonomous Semester Examinations.
  • The Autonomous Semester Examinations’ question papers are printed, Sealed and handed over to Controller of Examinations for safe custody.
  • To distribute End Semester Examinations Time-Table to the respective department for Notice Board display and make it available on the college website.
  • To arrange for the issue of Hall Tickets to eligible candidates
  • To appoint the Observer and Squad for End Semester Examination
  • To Conduct the End Semester Examinations after getting approval from the Chief Superintendent
  • To appoint examiners for evaluation of End Semester Examinations answer scripts.
  • Dummy number generation for received answer scripts
  • To report the malpractice cases, if any, to the Examination Committee and examination disciplinary committee to take appropriate disciplinary action.
  • To generate the statistical datasheet and hand it over to the Chairman of the respective board for passing the board
  • To place End Semester Examination results to Secretary & Correspondent and Principal for approval.
  • To publish the End Semester Examination results on College Website and to hand over the Galley sheets to the respective department
  • To arrange for the revaluation of answer scripts whenever necessary or requested by the concerned student.
  • To arrange for the Instant Supplementary Examinations for final year UG, PG students
  • To issue the Grade Cards and Consolidated Grade Cards to the students
  • To arrange to get Provisional and Degree Certificates from the Affiliating Thiruvalluvar University.

Question Paper Scrutiny Committee:

A Question, Paper Scrutiny Committee, is constituted to avoid errors in the question papers. The Committee consists of Heads of the Department/Board Chairman or, in their absence, any senior staff of the departments concerned. Two sets of question papers are given to the Scrutiny Committee. They need to certify that the question paper may be accepted or rejected, pointing out the defects or errors immediately after the scrutiny.
Duties of the Committee include:
1. To check whether every question paper has covered the questions from each unit as per the norms
2. To check the higher-order thinking level of questions as per Bloom's Taxonomy
3. To check the spelling and errors, if any
4. Scrutiny Committee approves the question papers.
5. The Scrutiny Committee takes utmost care in scrutinizing the Question Paper, ensuring zero defects. If an unnoticed defective question paper is given to students, the person who scrutinised the Question paper shall be responsible.
6. The Committee shall adhere to the timings specified by Examination Cell to scrutinize Question Papers.
7. The Scrutiny Committee members shall maintain utmost secrecy.

Security and Confidentiality:
Scrutinized question papers shall be typed & printed, and the copies taken to the office of the COE. They should be sealed and kept in the Strong Room under the direct custody of the COE. The sealed question papers will be handed over to the Chief Superintendent on the previous day to conduct examinations. on the day of Examination, Forty-Five Minutes, before the commencement of Examinations, the Chief Superintendent opens the sealed question paper packets. At the end of each Examination Session, the collected answer scripts shall be packed and sealed immediately and handed over to the COE's custody. 

Transparency:

  1. Internal assessment answer scripts are shown to the students after evaluation for their information, ensuring transparency and accountability in the evaluation process.
  2. The final statement of internal marks is notified, and student signatures are obtained.
  3. Observers are appointed to monitor the entire Autonomous Semester examination process
  4. The entire evaluation process is kept secret and confidential.
  5. Publication of results on the College Website and a copy of the same is sent to the respective department.
  6. Any student can get a photocopy of the valued answer scripts of End Semester Examination papers by paying the prescribed fee, irrespective of the number of papers.
  7. If a student is opting for revaluation, then the student shall apply for revaluation with the prescribed fee within the stipulated period. As a special case, consideration of revaluation of arrear papers can be allowed, at the sole discretion of the Principal based on the recommendation of the HoD concerned.

Instant Supplementary Examinations:
Instant Supplementary Examinations will be conducted every year during the month of June/July for those candidates who have completed their study and have not passed in only one paper. The fee for Instant Examinations shall be fixed by the Governing Body from time to time. A separate Grade sheet will be issued for instant examination. 

Examination Reforms

    1. The Examination Cell provides an Examination calendar for the Odd & Even Semester and Course structure for UG and PG programmes in Student's Hand Book.
    2. Online Examinations for Value Based Courses.
    3. OMR sheet based MCQ Examinations for Value Education, Environmental Studies courses.
    4. Entry of CIA marks via intranet from the respective departments by the Course teachers through their individual login credentials.
    5. CIA answer sheets are shown to the students after evaluation for their information which provides transparency and accountability in the evaluation process
    6. The department head gives the absentees of the internal tests an opportunity to appear for Additional test, if they have valid reasons.
    7. Question papers for CIA tests shall be set by the respective teacher and scrutinized by the HOD of the individual department.
    8. The Principal will decide on the appointment of observers/squad for End Semester Examination
      Examination for all the arrear papers (theory and practical courses) are conducted along with regular End Semester Examinations.
    9. Instant Supplementary Examinations are conducted for Final Year Students with arrear in only one Theory Course irrespective of semester.
    10. End semester Examination Time-Table and seating arrangements are automated.
    11. Received End Semester Examination applications are uploaded into the Examination Cell Software through scanning QR code
    12. The new format of the Answer Booklet was introduced in April 2019, with the student's photo and other details like Course Title, Course code, Register No, Date & Session of Examination and QR code, for the security and benefit of students.
    13. The randomized dummy numbers are generated from the QR code of the answer script through an optical scanner.
    14. Results are declared within three to five days from the last examination day. 

    Security Features of Grade Card and Consolidated Statement of Grade Card:

    • Introduction of photographs of candidates on Grades and consolidated mark sheet

    • Micro text throughout the sheet.
    • Accountability Number.
    • Customized design and print setup.
    • Barcode & QR code printing.
    • Hologram with Islamiah College Logo.
    • Distinct marking for different students.
    • Date of print and names of reader and verifier.
    • Manual signature of COE in individual Grade Card & Consolidated Marks statement.

    Process of IT integration:

    • Generation of Semester-wise, Degree-wise, Class-wise course list.
    • Automated generation of Examination Schedule. Students, Parents, & Staff can view the Exam Schedule and Results on the college Website.
    • Entry of Practical and Theory Examination marks through Intranet.
    • Randomized student’s seating arrangement in Examination Hall. 
    • Seating arrangements are informed to the students through Student login portal on
      our College website, half an hour before the commencement of the Examination
    • Generation of dummy numbers in answer script through QR code.
    • Computerized online Hall tickets are generated with photograph of the student for identification during the examination with regular and arrear papers list.
    • Online Examinations for Value Based Courses.
    • OMR Sheet based Examinations for Value Education and Environmental Studies
    • Entry of CIA mark by the course teacher through intranet using his Login Credentials.
    • Preparation of semester-wise attendance percentages for individual student.
    • Students' login facility on the Website to check their attendance position.
